The Search Tab

Applications
This field allows the user to select a specific application to search.
First, click on the arrow in the drop-down box. A list of all applications
currently loaded on that system is displayed. Select the desired application. |

Sort By
This field allows the user to control in what order the displayed hits
are shown. When the user selects an index from the drop-down box, DataBridge2
will alphabetically or numerically sort the records. Please note that
dates are stored as text which means that are sorted as text. |
Match Options
If the user has entered information into more than one "Search
for..." box, DataBridge2 can search for the information in different
ways. The user has the option to select whether DataBridge2 displays hits
that
- match the criteria from every "Search for..." box or
- from just one of the "Search for..." boxes.
If "Match ALL" is selected DataBridge2 will find only records
that contain the information from all of the "Search for..."
boxes.
If "Match ANY" is selected DataBridge2 will find any record
that contains at least one search string from any of the "Search
for..." boxes. |

Exact Match
When this box is selected, DataBridge2 looks for an exact match to the
search string typed in the "Search for..." box. If "Greg"
is typed in the "Search for..." box, then the program will locate
only Greg, not Gregory.
If this box is not checked, then the computer will find all occurrences
of those four letters, including longer combinations such as Aggregate
or Gregory. "Exact Match" is not case sensitive so the user
can intermix capital or small case letters. |
Search for
This box is used to enter the search information.
If the user is looking for Greg, that information would be typed in the
"Search for..." box. When information is entered in this box,
the second "Search for..." box becomes active. Up to five "Search
for..." boxes may be used for one specific search. (Click
here for details on performing a search) |
Look In
In conjunction with the "Search for..." boxes, this field
allows the user to control where DataBridge2 searches for information.
The different index fields that the database contains can be found in
this drop-down box. The user can select an index by pressing the drop-down
arrow, then highlighting the desired index. |
View Image Tab

File commands
As you search for files in DataBridge2, the system will return a set
of results. This set is the basis for the file commands. These buttons
let you navigate within the current set of search results from the view
tab. |

Page commands
Files in DataBridge2 are just like their paper counterparts. You can
thumb though them one page at a time or jump right to the page you want.
The page commands take care of this. When you open a file, the first page
is displayed automatically. |

First File |
Jump to the first file in the search results. |

First Page |
Moves the view to the first page in the current file. |
|
Previous File |
Move to the previous file in the search results. The keyboard
shortcut for this command is "Q". |

Previous Page |
Moves the view to the previous page in the current file. The
keyboard shortcut for this command is "A". |

Next File |
Move to the next file in the search results. The keyboard
shortcut for this command is "W". |
 |
Next Page |
Moves the view to the next page in the current view. The keyboard
shortcut for this command is "S". |

Last File |
Jump to the last file in the search results. |

Last page |
Moves the current view to the last page in the file. |
Image commands

Rotate right |
Rotate the current image clockwise 90 degrees |

Rotate left |
Rotate the current image counter-clockwise 90 degrees. The keyboard shortcut
for this command is "D". |

Scale to width |
Fits the current image to the width of the screen. |
 |
Scale to best fit |
Scales the current image so the whole image will fit in the viewing window. |

Zoom |
The zoom command let you zoom in on an image. Just choose a zoom factor
from the menu. The range is from 5% to 800% of normal. |

Print |
The "Print" button prints the current file. This is equivalent
to clicking on File->Print->File menu |
Context menu
A right-click on the document image will produce a context menu. This
menu keeps common commands close at hand. |

| Fit to window |
Scales the current image such that the whole image will fit in the
viewing window. This command is similar to "Scale to Best Fit"
button on the tool bar. |
| Invert Image |
Makes the image display as a negative. This mode is useful for hard
to read documents. |
| Zoom in |
Zooms the current view in 20% of the current zoom factor. The maximum
zoom is 200% of normal. The keyboard shortcut for this command is
"X". |
| Zoom out |
Decreases the current zoom factor by 20%. The minimum zoom factor
is 0.09%. The keyboard shortcut for this command is "Z". |
| Rotate 180 ° |
Flips the current image over 180 °. This command is equivalent
to pressing either rotate button twice. |
| Jump to page |
If you have the exact location of a page in a file, you can jump
to that page. This command is also useful for skipping though large
files while searching for a page. The keyboard shortcut for this command
is "J". |
| Print this page |
Prints the image you are currently looking at. The image will be scaled
to fit on one page. |
| Print file |
Prints the current file. The images will be scaled to fit one image
per page. |
| Save this page |
Saves the current page as a TIFF to a location of your choosing. |
| Save File |
Saves all pages in the current file as a multi-page TIFF to a location
of your choosing. |
| Copy |
Copies the current image to the clipboard. This image can be pasted
in to any document that supports pasting for bitmap files including
Microsoft Word, PowerPoint, and Outlook. Sending sensitive data via
email with this method is not recommended. Please see the appendix
on Security issues with the transmission of sensitive documents via
e-mail for more information. |
| Properties |
The properties menu gives you a little information about the currently
displayed image. This includes the physical location of the image;
the size of the image on disk, and the date on which the image was
last modified. |

Keyboard shortcuts

The Menu Bar
Most of the commands available as buttons on the DataBridge2 interface are
also available as options from the menu. The administration options are the
only exception.
File
Includes the basic functionality you would expect to see in a windows
program under the file menu. |

Print file |
Prints the currently selected file. |
|
Print page |
Prints the currently visible page from the currently selected file. |
|
Save As |
Gives you the option to save the current page or the entire file.
It works much like the print page and file menus |
|
Image Information |
Exactly the same as the properties in the view tab context menu.
Displays the physical location of the document as well as the size
and date it was last modified. |

Log Off |
Logs the current user out of DataBridge2. |
|
Exit |
Logs the current user out of DataBridge2 and exits the system. |
|
Options |
 |
|
Select CD-ROM |
DataBridge2 must be taught which drive is the correct
CD-ROM. If the auto-detect cannot detect your CD-ROM drive, then this
command will let you set this option manually. |
|
Auto Detect CD-ROM |
DataBridge2 will attempt to locate the CD-ROM drive by trying to
read information off each drive letter. A DataBridge archive CD must
be loaded in the correct drive for this to be successful. |
|
Load CD |
Loads the index information from a DataBridge archive CD into the
system. The "Load CD" button on the search tab is equivalent
to this command. |
|
Load Network |
If the DataBridge archive disks are hosted on a file server, shared
drive, or local hard drive, then you will need to use this option
to load information into the system. |
|
Remove Disk |
Removes the selected disk's indexing information from the system.
If this is the only disk for a particular application, you may be
prompted to remove the application instead. You must have administrator
privileges to remove disks. |
|
Remove Application |
This removes all indexing information for the selected application
from the system. You must have administrator privileges to remove
applications. |
|
Search |

Start Search |
Exactly like using the "Search" button on
the search tab. Starts a search with the criteria entered in on the
search tab. |
|
Clear Search |
Exactly like using the clear search button on the search tab. This
options clears the previous search from the screen. |
|
View
The view menu functions just like the tool bar on the view tab. All the
commands except print are represented here. |

Page |
Navigate forward and backward in the current file. |
|
File |
Navigate forward and backward in the current result set. |
|
Rotation
|
Rotate the current document a specified number of degrees. |
|
Screen |
Scale the screen to the width or best fit for your document. |
|
Administration
Administration lets you perform admin level operations on the system.
These include reporting and basic maintenance. This menu is only available
to users logged in as an admin. |

User Manager |
DataBridge2 implements its own security measures. This
menu opens the "User manager" window. For more information
on the user manager see the User Manager Overview on page 11. |
|
Transaction Log |
Every log in, search, or add disk operation generates an entry
in the transaction log. This sub menu holds options to display and
clear the log.
- "View log" opens the log with Internet Explorer.
- "Clear log" clears the transaction log. It also creates
an entry in the new log stating the time and user who cleared
the log.

Database |
DataBridge2 uses a set of Microsoft Access97 databases to store
information. As with all databases, periodic maintenance is a must
and this menu contains all of DataBridge2's database management functionality. |

Select database path... |
Lets the user change the path that DataBridge2 will look to for
the retrieval database. |
|
Repair database |
Repairs and compacts all the databases used by DataBridge2. |
|
Summary by Application |
Generates a report on the number of disks and files stores in the
selected application, with a disk by disk breakdown |

Help |

About |
The "about" menu the currently selected database,
the current users permission level, the registration code, and code
expire date. |

Special Features
User Management
DataBridge2 implements its own user management system. Users are divided
into permission levels, which determine what activities a user can and
cannot do. DataBridge2 has four permission levels: Admin, Print, View,
and Search. Each users account can be secured with or without a password.
If a user chooses to use a password the password must contain at least
one capital letter, one lower case letter, and one number. "One1"
is an example of a valid password. Passwords cannot contain spaces or
other special characters. |

This is the lowest authority level. Only users with
the search permission can search. Users that only have Search permissions
cannot view images, print, or otherwise manage DataBridge2. |
| View |
Users with the view permission can do everything the search users
can, and they can view images. |
| Print |
Users with the print permission can do everything a user with the
view permission can and they can print and save images. |
| Admin |
Admin has all the functionality of the print user and they are
the only group that that see the administration menu. Only users with
the admin permission can removed disks, remove applications, or change
user passwords. |

Transaction Logging
Overview
Transaction logging keeps a trail for every operation preformed in the
system and by whom. The log stores the time, date, user login, the windows
user name, the computer name, and a description of the event. |

How is the information stored and viewed?
The log information is stored in an encrypted access database with password
protection. It's a 20-digit password with random characters. The view menu translates
that information into a web page and opens it with Internet Explorer. To view
the transaction log, Log into DataBridge2 and select Administration->Transaction
Log->View Log.
You must be a DataBridge2 'admin' to have access to this menu.
What are fingerprints?
Fingerprints are a 32-digit number that uniquely identifies each record in
the document retrieval system. The fingerprint is only stored in the transaction
log. Each search, print or save event generates a signature. This lets someone
auditing the transaction log know exactly what file a user was looking at when
they printed or saved an image. DataBridge2 does not offer page level auditing;
such a feature would generate a lot of activity in the transaction log and is
beyond the scope of this system.
How can I get a file's fingerprint?
There are two ways to get a record's fingerprint.
You get it from the transaction log (left), or from view tab by right
clicking on the label over the index information (right). Clicking on
this popup menu will copy the fingerprint to the clipboard.

How do I use a fingerprint to find a file?
- Select "Locate record via fingerprint" from the Transaction
log menu.
- Then select an application to search in.
- Paste the fingerprint into the text box and click the search button.
- If the system finds a match then it adds that record to your search
results.

How often should I clear the transaction log?
That depends on usage. A really active user can generate around 350 log entries
a day, which takes up about 268 KB a day.
That's 8MB per month per user. (at 768 bytes per record) If your using DataBridge2in
a stand-alone fashion then clearing the log every 3 months would be a good idea.
If your using DataBridge2 on a network with a common search database and around
100 users, it becomes a little bit more complicated. Now you've got around 1
million records taking up around 800MB per month. In that configuration we recommend
clearing the log at least once a month. Clearing the log once a week would be
best. This would keep the log small and make viewing the long much less time
consuming.
I want to write my own utility for managing the transaction log. Can you
give me the password to the log?
No, but we can provide you with a utility to export the log into a format

Configuration Console
Included with DataBridge2 is configuration utility. This utility
is just a user interface for the DataBridge.ini file that stores all of DataBridge2's
settings. The most important features included in this utility are the ability
to put DataBridge2 into debug mode, and the ability to re-select the retrieval
database. At the bottom of the screen, DataBridge2 Configuration displays the
computer ID, the registration code, and the code expire date. (All of these
items are needed when you re-register your software.)
